Provider and scope

MailboxVitals is a product and trading brand of Vital Signals Ltd, company number 17355669. These terms apply alongside any written proposal, order or statement of work agreed for an assessment. If specific written terms conflict with this page, the specifically agreed terms take priority.

Read-only, metadata-led assessment

The service analyses relevant Microsoft 365 mailbox and tenant metadata to identify health, storage, archive and related signals. It does not intentionally collect or inspect email bodies, download attachments or inspect message content.

The standard assessment does not enable archives, move or delete data, alter retention, change tenant configuration or perform remediation. Any work outside this scope must be separately agreed in writing.

Customer responsibilities

The customer confirms that it has authority to provide the relevant Microsoft 365 tenant and mailbox metadata and to instruct the assessment. The customer is responsible for providing accurate context, maintaining appropriate backups and permissions, and ensuring its own compliance obligations are met.

Findings and recommendations must be validated by suitably qualified customer personnel before action is taken. Microsoft 365 administration decisions and their consequences remain the customer’s responsibility.

Reports and limitations

Reports, evidence packs and next-action recommendations are advisory and reflect the data, scope and configuration available at the time of assessment. They are not a guarantee that every issue will be found and are not a substitute for broader security, compliance, legal or operational review.

Fees and payment

Free snapshot scope is described on the relevant request page or confirmed in writing. Payment terms will be confirmed in writing before paid work starts.

Data handling and retention

Assessment data is minimised and handled in accordance with the MailboxVitals Privacy Policy and applicable agreed data-processing terms. Assessment and report data is normally retained for up to 12 months unless otherwise agreed, required by law or needed to resolve an active issue.

Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales will have jurisdiction subject to any specifically agreed dispute terms.
